We are looking for a Spain and EMEA Payroll Advisor to join our global HR team. The successful candidate will ensure that Spain and EMEA payroll processes are completed in accordance with local legislation and OUP terms and conditions. 
In addition, this role will be preparing for and then delivering the outsourcing of the Spanish payroll and potential transitions to new suppliers in other EMEA countries.
The selected candidate will work alongside the Group Payroll Manager and the HR Business Partners for Spain and EMEA responding to audit points and implement continuous improvement for all aspects of the Spain and select EMEA payroll processes.
This role is based in our office in Madrid (Spain). We work on a Hybrid model (2 days per week in the office).

Responsibilities

  • Prepare, pay, and send the Spain payroll in line with legislation and internal control guidance. Using Sage software, accurately and confidentially prepare, process, and validate all data required for the combined payroll of 260 employees to the required deadlines for payment. 
  • Prepare the Spanish payroll and other select EMEA payrolls to be outsourced/transitioned to new suppliers, working with the Group Payroll Manager and the HR Business Partners for Spain and EMEA to evaluate suppliers, prepare data, complete testing, and parallel runs to ensure accuracy.
  • Manage all core payroll processes relating to Family Leave and any other absence types as well as all higher-level Payroll tasks including but not limited to managed terminations and checks in line with local legislation and the OUP Terms and Conditions.
  • Ensure information provided for approval for monthly payroll signoff with the relevant HR and Finance Team stakeholder is accurate and all relevant after payroll tasks have been completed. 
  • Create and deliver the payroll cost reporting to the relevant finance contacts
  • Act as key point of contact for Spain and select EMEA Payroll queries. Provide advice and assistance on local payroll related policies, procedures, and legislation.
  • Preparation, control, and presentation of monthly and annual taxes (IRPF-Personal Income Tax) of the employees and freelancers that provide service to the company.
  • For the select EMEA payrolls you will be responsible for sending local payroll providers the salary data in line with the relevant timelines and validating the output. Ensure information provided for approval for monthly payroll signoff with the relevant HR or Finance Team stakeholder is accurate and all relevant tasks have been completed.
  • Build and maintain an effective working relationship with payroll providers. Manage service levels, ensure timetables are updated accordingly and resolve any queries in a timely manner.
  • Create the documentation required by the country authorities (e.g., Social Security departments, Employment Service, Tax authorities), supporting the HRBP to ensure that all monthly checks, payments, queries, and year end processes are completed accurately.
  • Regularly review and update Spain and select EMEA Payroll Standard Operating Procedures, working with the Group Payroll Manager to ensure they are in line with the global standards. Communicate any new processes or changes to relevant stakeholders.
  • Provide information for, and compliance with, the requirements of monthly and annual internal and external audits.

About You
The successful candidate will need to possess the following skills, qualifications and experience:

  • University degree 
  • Experience of working in a payroll role in Spain
  • Solid understanding of the legislation relating to Spanish payroll processing,
  • Experience of working with HRIS and Payroll Systems and/or Payroll providers
  • Fluent in Spanish and Business English (B2 level)
  • Experience working with confidential data.
  • Multi-tasking and efficiency, able to prioritise workload.
  • First class levels of accuracy and attention to detail and organizational skills
  • Working under pressure to meet strict deadlines.
  • Advanced user of the Microsoft Office suite, with a focus on Excel 
  • Reliable, excellent problem-solving and communication skills. Able to work effectively with stakeholders, both internal and external

Desirable:

  • Experience of working on other payrolls globally.
  • Knowledge of other EMEA languages
